Every open group has a minimum number of participants. If the minimum is not reached before the configured closing time, the class is cancelled under the policy. Anyone who has already paid has a full refund requested outside the normal cancellation windows. The refund status may show as requested. Manual review may sometimes be needed, or the payment provider may still be processing the refund; follow the refund status in the booking.
This applies when
- You want to know what happens if your group class does not fill up.
- There are too few sign-ups and you wonder whether the class will go ahead.
- You want to explain to participants when they will get their money back.
Set the minimum number¶
Open your service in Services and prices and choose the service with Booking type open group.
Set the minimum number of participants required for the class to go ahead; every open group starts with two participants.
Save the service. New sessions for this service use the configured minimum.
Result
Participants can see how the group is filling through the occupied-seats indicator. If the session does not reach the minimum before the configured closing time, the class is cancelled under the policy and refund requests are started. Processing may still be in progress afterwards. Manual review may sometimes be needed, or the provider may still be processing the refund.
Policy
Every open group class and private group has a minimum number of participants. If the minimum is not reached before the configured closing time, the session is cancelled under the policy and a full refund is requested for everyone who has paid, outside the normal cancellation windows; see Terms §16. The request and payment may still be processing. Manual review may sometimes be needed, or the provider may still be processing the refund. If you cancel a class yourself, the rules shown with the booking apply. A temporary seat reservation during checkout is separate from this sign-up deadline.
